 Top Tip 10 - Monday to Sunday (Call details)



When adding a Service User's default calls in the Call details page there is a quick and easy way to add them to the grids.

If all or the majority of the calls for the days of the week are the same times as they are on a Monday. Create and add the calls into the Monday grid then click on the Mon Sun button which will add the same calls to the other days of the week (Tues - Sun).


If some of the calls need to be altered on certain days (e.g. start time, duration, carer's) you can alter them manually to the desired details. If a call needs to be deleted on a certain day, select the call and then click the minus button.

Top Tip 9 - Adding a Staff photo



In Call Guardian there is a facility where you able to add Staff photographs to the database. These photographs can be used for future reference and also when creating Staff ID cards. 


Here are some helpful tips and guidelines that must be followed when taking and preparing photographs to be used in Call Guardian:


1. Some cameras have a passport setting which follows many of the constraints that Call Guardian require.


2. If your camera doesn't have the passport setting, turning the camera on its side (vertical) when taking the photograph will give you the passport shape.


3. Use the camera's zoom setting to zoom towards the person's head and shoulders, if there is no zoom move closer.


4. The image must be in JPEG (.jpg) format.


5. The image must be in portrait orientation, a landscape orientated image may appear to be distorted. 


6. The image size must be less than 200kb. An image higher than 200kb may effect the performance of the database.


7. If needed use photo editing software to resize and edit the photos.

On the Staff details page you will see the facility where you can add individual staff photograph into the program.

     1. Select the member of Staff by using the forwards and backwards buttons or use the Search function.

 2. Click on the "Photo" button to open the Windows file/folder browser.

3. Locate the photograph you would like to add to the database and click the 'Open' button.

4. Now the selected photograph is opened and saved to the selected Staff member on the database.

Top Tip 7 - Call Monitoring alarm change



The Call Monitoring system uses an active alert system to alert the operator of any late or missed calls. These alerts are both visual, by using different colours corresponding to the alert status, and audible, by using an alarm sound to alert the operator (see image below).

The alarm sound is originally set by default but may be quite irritating for the operator. Its possible to change the alarm with another alarm sound which maybe more comfortable for the operator.


1. This can be done in the Settings of the program.




   2. When on the Settings page select the 'System' tab.




3. On the System page you will find the "Choose Alarm Sound" form half way down the page.




 4. Select the open folder button.




5. By selecting the open folder button a window opens and the operator will find many different alarm sounds which can be used on the Call Monitoring system. These sounds can be previewed by simply double-clicking on each sound file.






   6. When the operator decides on a new alarm sound      simply click open on the window and the alarm sound    will be replaced by the newly selected one.




7. The Call Monitoring alarm sound can be changed as regularly as the agency chooses to. There is also a function in the settings where the operator can choose the alarm sound volume and the mute settings.

Top Tip 8 - Using the Refresh button



On various pages in Call Guardian you will come across the refresh button (curly arrow),

which can normally be found amongst the function and navigation buttons. 



The refresh button is very important and SU refresh

very useful when making changes to

data and information in forms and tables,

e.g. the Service User detail page. 




After making your changes and saving your changes, it is also advisable to click the refresh button to make sure that the changed data/information is correctly inputted and saved into the program.

 These buttons look different to the refresh  buttons on many of the other pages but carry out  the same task.

Top Tip 6

Top Tip 6 - Editing Mode



When a cell is active or an entry is being edited e.g. Time/Staff change in Rota, the program is in Edit Mode (see image below).




While in Edit Mode the whole row which the cell is located is locked.

No other logged in user can edit any cell of the row if they are

logged in to Call Guardian on another computer.







If the operator simply clicks away from the cell this 

ends the Editing Mode and returns to a normal state.

This also releases the form back to the other users.
